Do not be offended at the inclusion of this seemingly juvenile page. These are
most important items of apparent trivia and cannot be over-emphasised. They
apply to all application forms and supplementaries.
Do remember that people dealing with charitable
requests are giving out your money and must be careful. Fraudulent and frivolous
claims are rare but they do sometimes appear and must be avoided.

Firstly, write clearly, preferably in block capitals
and black ink so that the document can easily be read even after photocopying.
A surprisingly large number of documents are delayed because they cannot be
clearly read.

Secondly, do complete every question asked. It is
usually there for a purpose and lack of a simple reply may well defer the
application to the next meeting.
It is not easy to probe into financial and personal
details which would not normally be discussed, especially at a time of
distress. Nevertheless, it is your job to ensure that a proper claim for help
will go to the correct authority in such a manner as to obtain the help
required. If, at this point, you need further assistance, ask for it.
If you do not or cannot know the answer, say so,
giving the reason. Remember that these forms are designed to present necessary
information to a human being whose task is to distribute help to those seeking
it.

Thirdly, make sure that the envelope is stamped and
addressed correctly to the right person in the right department. This
particularly applies to large Local Government offices where documents may get
lost. A telephone call in advance can be very helpful.

Finally, do not have any inhibitions about chasing
in a reasonable manner, the progress of your project. A courteous telephone
call asking if it has been safely received will do little harm and will
usually elicit an indication as to when a reply might be expected. Generally,
Masonic Charities are very well administered and respond quickly, but errors
can occur anywhere. |
